The Battersea Power Station Foundation takes your privacy very seriously.  We have adopted this Privacy Policy in recognition of your right to keep your personal information private.  The policy describes our privacy practices in relation to your use of our website and our treatment of all personally identifiable information that we collect or hold.


What is the Battersea Power Station Foundation?

The Battersea Power Station Foundation (BPS Foundation) is an independent charity whose grants help to connect people and places, empower communities and transform lives in Wandsworth and Lambeth.  We want to encourage better connections between, and amongst local communities, so people feel a greater sense of ownership and responsibility for the places where they live.


The information we collect

The BPS Foundation will only collect personal information from you where it has a legitimate reason to do so and/or you give your explicit consent.  When you apply for a grant from BPS Foundation, we will collect information about you so that we can contact you about your application, any grant we make and/or any relevant news (e.g. newsletter, events, additional funding information).

If you give any personal data in your application about a third party (for example, the name of a project manager), we will ensure that data is kept confidential in accordance with our privacy policy, but it is your responsibility to secure consent for its use in the application first.


How we collect and store the information

BPS Foundation receives grant applications via online forms built using software owned by Form Assembly.  Form Assembly’s software complies with the EU-US Privacy Shield Framework.  Form Assembly data remains private and the responsibility of the individual or organisation creating the form; and Form Assembly give their assurance that they will never view, access, sell, or distribute it to a third party without first seeking written consent.  If you have additional questions about Form Assembly’s privacy policies, please contact them at


All personal information is securely stored in our Salesforce cloud-based grants management database.  Salesforce has robust security measures in place that meet the highest standards in the industry.  Salesforce gives an undertaking that it will not review, share, distribute, or reference any of its customer’s data, unless it is required to do so by law.


How we use your information

BPS Foundation will use the personal information we collect for the purpose disclosed at the time of its collection, or as set out in this policy.   We will not use your personal information for any other purpose without first seeking your consent, unless we are required to do so by law.  Generally, we will only use your personal information as follows:

*To contact you in relation to your organisation’s grant application or any subsequent grant, including the monitoring of a grant;Tto answer questions that you have asked about our charitable activities;

*To contact you with any up-dates about our work and funding programmes;

*Occasionally to invite you to BPS Foundation events;

*Occasionally to share with a partner funder if your programme or project is being funded as a partnership between us and another trust

*Very occasionally to consult you about our future funding strategy.

Your personal information will be held for as long as it is required for our grant-making processes or as long as the law requires.  This is typically for five years after the decision to fund is made.

The Terms and Conditions that are signed by grantee contacts are in paper and electronic form and held securely for five years for legal and auditing requirements.



Your personal information will be kept strictly confidential.  We will not share it with any third-party organisations or individuals other than consultants commissioned by BPS Foundation to review your grant.  If we are funding your organisation as part of a partnership with another funder, your personal information may be shared with that funder, but consent will be sought first.  Your personal information will not be sold, given away or shared with anyone else, unless we’re required to do so by law.


Access to your information

You can request access to the personal information that BPS Foundation holds about you by contacting our office as set out below.   We will provide you with access to your personal information, unless we are legally advised to refuse your request.  We will provide the information as quickly as possible, but it may take up to 15 working days.

If you would like to ask us to change personal information that is out of date or inaccurate, please contact us and we will take reasonable steps to correct the information.  If you wish to have your personal information deleted, please let us know and we will delete it wherever practicable.

You have the right to request the erasure of your personal information if you believe that it is being held longer than is necessary for the purposes for which it was collected.   In rare circumstance, we may legally refuse your request to access, amend or delete your personal information.  If we do refuse your request, we will let you know the reason.


Withdrawing consent

If you wish to withdraw your consent for BPS Foundation to use your personal information, you can do so at any time using the contact details listed below.



BPS Foundation will take all reasonable steps to ensure that personal information that it holds is secure by storing it in a secure server or secure files.  We take security measures to protect your personal information from access by unauthorised persons and against unlawful processing, accidental loss, destruction and damage.  The Internet is not a secure method of transmitting information.  Accordingly, BPS Foundation cannot accept responsibility for the security of information you send or receive from us over the Internet.   In the rare situation that we need to share personal information relating to your grant by email, this will be encrypted to ensure its security.


Changes to this Privacy Policy

BPS Foundation may amend this Privacy Policy from time to time and we will publish the amended version on our website  We recommend that you visit our website regularly to keep up to date with any changes.
